OFF-THE-WALL TECHNOLOGY SHOWCASE

TERMS AND CONDITIONS

Thank you for expressing interest in participating in the 2019 Off-the-Wall Technology Showcase (the Event) which will be hosted by the CSIR and its’ partners on the 8th and 9th of February at the Knowledge Commons.

By submitting the registration, or participating, Exhibitors and Attendees are accepting the Terms and Conditions set out here:

HOW DO I PARTICIPATE?

Registration is essential. Applicants are to register interest on the website at www.sti4shs.co.za, either as an Exhibitor or as an Attendee.

Registrations received from potential Exhibitors will be subject to review by the Organisers, as outlined below. No participant will be permitted to showcase or exhibit without an Exhibitor’s Pass.

REGISTRATIONS

Online registrations will close as follows:

1 February 2019 – Exhibitors (LATE REGISTRATIONS WILL NOT BE PERMITTED FOR EXHIBITORS)

6 February 2019 – Attendees

Delivery staff and assistants are not exempted from the registration and access control procedures.

EXHIBITORS PASS

Registration to Exhibit does not automatically imply acceptance. Registrations received for exhibition will be considered “Prospective Exhibitors” until:

  1. Prospective Exhibitors must provide contact details to respond to any questions arising.
  2. Applications are vetted by the Organising Committee to ensure Health and Safety and that the goods, services or products are suitable (e.g. likely to fall within the scope of interest of invited stakeholders).
  3. Exhibitors are required to remain on the campus and contactable throughout the two days of exhibition. Exhibitions may not be left unattended.
  4. Prospective Exhibitors who are successful will be offered an Exhibitor’s Pass via email.
  5. Exhibitor’s Passes are issued at the sole discretion of the Organising Committee. The Organisers reserve the right to revoke the Exhibitor’s Pass at any time. Correspondence will not be entered into.

ACCESS CONTROL

Make use of the North Gate to the CSIR Campus

Any persons, including Exhibitors and Attendees wishing to enter the CSIR campus will be required to comply with Access Control procedures. A valid form of identification documentation is required for all persons over the age of 16 on every entry and exit. Valid identification is limited to original SA identity documents, driver’s licence or passports). Access may be prearranged, but this does not guarantee an expedited process.

COSTS

The event is free to attend for all Attendees and Exhibitors. Any costs associated with participation, including, but not limited to travel, insurance, set-up, cleaning up, refreshments are to be carried by participants themselves.

Any costs incurred by the Hosts or Organisers arising from non-compliance with Terms and Conditions be recovered from the Exhibitor or Attendee.

WITHDRAWAL

Exhibitors and Attendees are requested to notify organisers of their intention to withdraw by email as a matter of courtesy.

SUSPENSION OR CANCELLATION

The event may be suspended or cancelled at the discretion of the Organisers, for example, in the event of inclement weather.

Except by express permission and prior arrangement with the Organisers, the following times will apply:

Exhibition set-up              Thursday 7th February 14h00 – 17h30

Exhibition dismantling    Saturday 9th February    

EXHIBITION

Exhibitors are to comply fully with all instructions issued by the Organisers. Failure to immediately comply can lead to expulsion from the event.

The exhibition will be located within a demarcated area in an open-air environment. A central marquee will be available for meeting and greeting. Portable ablution facilities will be available. Refreshments will be on sale.

The Organising Committee will allocate suitable spaces for exhibition around a central marquee on the lawns near the Knowledge Commons.

No services will provided to individual Exhibitors. No exhibition equipment or furniture, shell structures, no weather protection and very limited waste disposal. There is a high likelihood that an electrical point will not be provided. Exhibitors are therefore encouraged to bring:

  • An extension cord if the approved application included an electrical point
  • a gazebo or umbrella,
  • chairs
  • marketing banners,
  • means of display  (e.g table)
  • Posters, prototypes, models

Unless by prior written arrangement Exhibitors will be limited to 3m x 3m x 3m. Only light passenger vehicles will be permitted on site to deliver and remove materials.

Exhibits must not cause obstruction, be flammable, emit any harmful emission, and must not cause any disturbance or nuisance. Any set-up that could potentially be a nuisance (e.g. generators) should be condoned in writing with Organisers upon registration.

The property of the exhibitor is deemed to be under his/her custody, control and oversight at all times, including in transit. Valuables should not be left overnight.

Upon closure, Exhibitors will be required to dismantle and remove all equipment and residue and leave the site as it was found.

PITCHING SESSIONS

On Saturday, Exhibitors will be given the opportunity to stand on stage and provide a two minute verbal pitch under direction of the Pitching Coordinator.

Instructions will be issued at the Compulsory pitching briefing on Saturday morning.

DISCLAIMER OF ENDORSEMENT

The inclusion of exhibits, materials, Exhibitors or Attendees does not imply endorsement or support of any of the linked information, services, products, or providers by the CSIR or its partners.

INTELLECTUAL PROPERTY

Exhibitors are discouraged from sharing any information which may compromise their ability to apply intellectual property protection. Exhibitors are encouraged to seek independent professional advice on what is advisable in their particular case.

CONSENT TO USE IMAGES

The Organisers reserve the right to make and use images in perpetuity in any media without additional permission or compensation.

INDEMNITY

Exhibitors and Attendees indemnify CSIR, its board, executive management, employees, sub-contractors, agents, representative or assigns against any and all liability for all claims, loss, damages made by any third party or incurred by you in respect of any third party that arises.

ALTERATIONS

The Organiser reserve the right to alter these Terms and Conditions at any time.
